Halaxy setup and support
Halaxy, set up properly the first time.
Most practices use a fraction of what Halaxy can do, because the setup never got finished. Fees are typed in by hand. Reminders were never switched on. Rebates are claimed one at a time.
The software is not the problem. The setup is.
Setting it up
What gets configured.
Done once, done properly, so the system does the work instead of you.
Full setup checklist
- Practice, practitioner and provider details, locations and rooms
- A fee library built to your funding rules: Medicare, DVA, NDIS, WorkCover, TAC and private health
- Medicare and DVA online claiming connected and tested
- Online bookings and your Halaxy directory listing
- Patient portal, intake forms and consent
- Appointment reminders, with SMS wording that sounds like you
- Note and letter templates, including the measures you actually use
- Invoice and letterhead branding, so everything that leaves the practice looks like you
- HealthLink and ReferralNet messaging
- Xero connected, so your billing and your books agree
- Migrating your existing patient list, appointments and balances
- A recorded handover walkthrough, so you and your team can see how it all works
Running it after that
- Daily claiming and reconciliation
- Bookings, cancellations and the waitlist
- Referral tracking and expiry dates
- Outstanding accounts chased
- Fee schedule updates when Medicare rates change
- New practitioners onboarded as your practice grows
- Monthly practice and financial reports that tell you something useful
Why it matters
An unfinished setup costs you every week.
A fee library that isn’t built to your funding rules means every claim is a manual decision. Reminders that were never switched on mean a no-show rate you have simply accepted. Rebates claimed one at a time means hours a week that nobody is paying you for.
None of that shows up as a problem. It shows up as a practice that feels harder to run than it should.

Common questions
Before you book.
What does a Halaxy setup cost?
It depends on the size of the job. A fresh setup for a solo practitioner is a different piece of work from migrating an established practice with years of patient history. On the intro call we look at what you’re starting from and what needs configuring, and you get a fixed, written quote before any work begins.
Can you set Halaxy up from scratch?
Yes, including migrating your existing patient list, appointments and balances from whatever you are using now.
We already use Halaxy but barely touch it. Can you fix that?
That is the most common version of this job. Most practices use a fraction of what Halaxy can do because the setup was never finished. Fees typed in by hand, reminders never switched on, rebates claimed one at a time. I go through what is configured, what is not, and what it is costing you.
Is this a one-off or ongoing?
Either. Some practices want the setup done properly and then run it themselves. Others want me to keep running it. Both start the same way, with a conversation about how your practice actually works.
How long does a setup take?
It depends on how much is being migrated and how many practitioners and funding types are involved. I will give you a realistic timeframe on the call rather than a number designed to win the job.
Let’s look at what isn’t switched on.
